Description

Reporting to the Zone President (ZP), SEAA, the primary role of Executive Assistant is to provide full secretarial and operational support, contributing to the efficient operation of daily business and objectives. This involves a wide range of responsibilities, including managing complex calendars, scheduling meetings, arranging travel, preparing reports, and handling confidential information with discretion.

Les missions

Main Responsibilities

  • Proactively manage and optimize ZP’s calendar, prioritizing appointments, and resolving scheduling conflicts
  • Manage and coordinate comprehensive travel itineraries, including flights, accommodation, and ground transportation, across different time zones
  • Manage the LT travel calendar across the region
  • Support in the screening of emails and meeting invites, drafting correspondence, and facilitating effective communication both internally and externally
  • Provide meeting support where required; this may include agenda planning, taking minutes, preparing meeting materials and post meeting progress status
  • Help draft and review communications or business presentation content on behalf of ZP
  • Help organize events as needed for business meetings/visits by Important guests.
  • Manage the expense claims of ZP and invoices follow-up.
  • Provide occasaional clerical and administrative support to the LT team such as card printing
  • Manage the office supplies budget under ZP supervision

Profil

Key Requirements Able to handle sensitive information with professionalism and maintaining strict confidentiality Good computer skills, including the Microsoft Office (Outlook, Word, PowerPoint, and Excel) Proactive problem solving with the ability to anticipate needs, identify potential issues and propose solutions Excellent writing, editing, and proofreading skills Strong team player and interpersonal skills Strong detail orientation and organizational skills Able to work under pressure with flexibility Resourceful, proactive and innovative Good numeracy sense and analytical mindset Excellent command of English – both written and spoken
